BC-ANNOUNCE DURING ALTERED OPERATIONS

As the College functions under altered operations and continues to follow the Governor’s stay at home order closing schools at least until May 4, we will be limiting the messaging going out via BC-Announce. This is an effort to ensure that top-level messaging related to COVID-19 and altered operations is not getting lost in your inboxes. Please send any messaging you would like considered for BC-Announce, except for I.T. announcements related to either cybersecurity threats or systems operations, to kyle.smith@brazosport.edu. We will try to get everyone’s messaging out to campus but cannot guarantee it will always be sent as a BC-Announce. We hope to return to normal operations soon and appreciate your understanding.

VACATION TIME DURING ALTERED OPERATIONS

We know that our summer vacations aren’t going to look like a typical summer, but we encourage everyone to still plan some time off or ‘stay-cations’ to use your accrued vacation time before the end of the fiscal year. During altered operations the College is still open, and normal vacation and sick time processes still apply during this time. As a reminder, employees can only roll over up to 120 hours, so please review your time and work with your supervisor on arranging time off.

TIMESHEET SUBMISSIONS AND PAY DURING ALTERED OPERATIONS

The purpose of this update is to address questions about the reporting of time and the submittal of timesheets that you may have:

Full-time staff – if you normally submit time via Report Time, you will continue to do so.  Please see Connie Barker’s email to you, dated March 24, 2020.  That email addressed that you are to report actual hours worked as ‘Regular Hours’ and report hours available to work as ‘Other’.  Additionally, scheduled sick leave and/or vacation taken should be reported as usual.

The following information applies to part-time staff and student assistants through this spring semester:

Part-time staff – These employees will be paid a minimum of 19 hours per week for anyone who was paid for the March pay cycle (pay date March 20) and is available for work. If assigned hours worked exceed 19 hours per week, they will be paid for all hours worked.

Student Assistants – Student Assistants will also be paid for a minimum of 19 hours per week for anyone who was paid for the March pay cycle (pay date March 20) and is available for work. If assigned hours worked exceed 19 hours per week, they will be paid for all hours worked.

Part-time staff and student assistants who normally use the Empower MyHR timesheet process and their supervisors should review the instructions for part-time and student workers (This does NOT apply to employees who enter their time through other systems; e.g., through Report Time or the CBIT system).

It is the responsibility of the part-time employee or student worker to enter their time during this period of alternative operations/campus closure. 

As was stated previously, part-time employees and student workers will be paid for a minimum of 19 hours per week for anyone who was paid for the March pay cycle (pay date March 20) and is available for work. Hours cannot exceed the 19 hour weekly limit unless the employee actually physically worked more than 19 hours. Report actual hours worked as ‘Regular Hours’ and report hours available to work as ‘Other’.

Please make sure a comment is made on every entry during the period of alternative operations based on the attached instructions. On the rare occasion that a supervisor must make the entry on behalf of their employee, they should review the MyHR timesheet instructions reference above for the employees and also review and follow the supervisor instructions.

All time entries for April 2020 hours should be entered no later than Thursday, April 30, 2020 at midnight. HR will make the timecards available to supervisors for review starting Friday, May 1, 2020. Then, supervisor edits will be made (if needed) and the supervisors will submit the timecards.
